Animal Collection Database Integrity Updates
Overview
We have completed a comprehensive system audit to improve data integrity across our animal collection records. This audit focused on three critical areas that ensure accurate tracking and reporting of animal populations across all facilities.
Important Note: This audit did not change any of your current animal census numbers or population counts. All changes were focused on correcting historical data inconsistencies.
What Was Updated
1. OID (OERCA ID) Uniqueness
- What we fixed: Ensured every animal collection group has a proper unique identifier (OID)
- Why it matters: OIDs are essential for tracking animal groups as they move between Habitats and Facilities
- What changed: Very old historical records (circa 2011-2014) with missing OIDs were assigned appropriate identifiers based on their collection group characteristics
2. Collection Group Balance Corrections
- What we fixed: Resolved instances where collection groups showed negative balances
- Why it matters: Negative quantities are impossible in real-world scenarios and can cause reporting errors
- What changed: Added system-generated reconciliation transactions to correct these mathematical impossibilities
3. Transaction-to-Area Quantity Matching
- What we fixed: Ensured that the sum of all transactions for each OID Group and Collection Group matches the current quantity shown in each area
- Why it matters: Accurate historical records are essential for auditing and regulatory compliance
- What changed: Added balancing entries where historical transactions didn't add up to current quantities
What You May Notice
System Audit Transactions
You may see new transactions in your historical records that:
- Have no user listed (they will show as system-generated)
- Are dated with the audit timestamp
- Include system identifiers indicating they are "System Audit" entries
- Some appear redundant or even contradicting; however, they are each specific to unique OID Group transactions
These transactions are clearly marked and were necessary to maintain data integrity without altering your current animal counts.
Why These Changes Were Necessary
Many of the corrected records date back to earlier versions of our system that lacked the robust validation rules we have today. Modern transactions are automatically validated to prevent these issues, but historical data required this one-time cleanup.
Impact on Your Work
- No changes to current census: Your current animal counts remain exactly the same
- Improved reporting accuracy: Historical reports will now show consistent data
- Better tracking: Animal movements between facilities will be more reliably tracked
- Cleaner audit trails: Regulatory audits will find complete, balanced records
