Summary
There are a few key steps when managing your food inventory. These mainly include:
- Creating a Master Food Inventory list
- Receiving your food inventory into your Facility
- Reducing your food inventory (through "breakout" or "Nutritional Plans")
This article will guide you through the first part of this process, establishing your Master Food Inventory.
The Master Food Inventory tool is the first step in setting up and managing your Facility's food inventory.
Master Food Inventory is where:
- Master list of fish types used by the Facility are established.
- Reorder lows are set.
- Breakout waste percentages are established.
- Quantity-on-hand can be viewed; both off-site and on-site.
- Pieces per unit of weight can be established if you prefer entering food amounts in pieces vs weight.
Definitions:
| Food | Provides a list of food types available for inventory (if a particular food type is not listed, please contact customer support for assistance at support@oerca.com). |
| Offsite Lbs/Kg | Sum total of food type located in "off-site" storage. |

Offsite Reorder |
[optional] When Inventory off-site reaches the amount entered here, the alert system will send an Inventory Reorder Notice to designated recipients. |

Onsite Lbs/Kg |
Sum total of food/fish type located in "on-site" storage. |

[optional] When Inventory on-site reaches the amount entered here, the alert system will send an Inventory Reorder Notice to designated recipients. |

% Waste |
[optional] The percentage amount entered here is used to automatically calculate the amount of breakout required. The total of each fish type in Nutritional Plans X Waste % = Breakout Required. |

Pieces per weight |
[optional] You have the option to record pieces of food items fed instead of recording weight. To do this, the system must know approximately how many food items are in each unit of weight (Lbs or Kg depending on your Facility preferences). |
| Delete | Check this box and select "Submit" to completely remove a record. |
Here is how to create your Master Food Inventory:
- Click on the Facility Settings button (gear icon in upper right corner). You must be assigned to a "Facility Manager" User Permission to have access to Settings.
- Click the Master Food Inventory link.
- Select the Food type from the drop down in the Food column.
- [optional] Enter the Reorder point for off-site and on-site in the appropriate fields (in lbs. or kg depending on your Facility Preference settings).
- [optional] Enter the % Waste for calculation of Required Breakout.
- [optional] Enter the Pieces per weight unit (i.e. number of food items per kg or lbs depending on your Facility Preferences).
- Select "Submit" to save the record.
TIP: OERCA will alert you when the quantity on-hand reaches the Reorder point set here for each fish type. Set your reorder point to allow ample time for accounting process and shipping time. Filling in these values is optional.
